Your Microsoft 365 Copilot licences are live. Three months in, adoption is flat — and no one can say exactly why.

The licence is the easy part. Whether Copilot delivers isn’t decided on the invoice; it’s decided in the tenant. On 29 May 2026, Microsoft published the ten settings it treats as critical for a working rollout — and noted that tenants left on default tend to stay “at-risk”, while correctly configured tenants show measurable gains in usage and satisfaction. Most organisations enable the licences and stop there. Here is what each group of settings means in business and governance terms — not IT trivia.

Two settings govern whether people actually reach the tool. Pinning the Copilot app to the Windows taskbar gives everyone one visible entry point. Channel Readiness keeps Office on the release track that receives Copilot features on time.

Miss these and half your users never find the tool. Adoption starts with visibility.

Four settings give Copilot real context to work from:

• Web Search — adds current public information, so answers don’t rely only on stale data.
• Teams meeting transcription — turns meetings into structured text: the basis for summaries, action items and “what was decided”.
• Copilot Connectors — reach data in third-party systems beyond Microsoft 365.
• Core 1P Agents — unlock Microsoft-built agents such as Researcher for multi-step analysis.

Without context, answers are generic. With it, they are about your business.

Three settings cover advanced models and preview features. Two are worth attention: Copilot can now also use Anthropic (Claude) models, including directly in Word, Excel and PowerPoint, choosing the right model per task — all within Microsoft’s compliance boundary, with no data leaving the perimeter. For regulated European organisations, that boundary is the point: more capability without losing control.

Copilot Frontier adds governed early access to upcoming features for a limited group. This is where the automation and AI layer sits: power, with a hand on the switch.

The tenth setting, Feedback & Logs, closes the loop — showing where users get stuck and what works, so decisions rest on data, not impressions.

None of these tenant settings appears on the licence invoice. All of them appear in the daily experience of your team. A default tenant produces a weak experience; a weak experience produces weak adoption; weak adoption turns a paid subscription into cost without return — and leaves governance and security gaps unaddressed.

The difference between “Copilot does nothing” and “we don’t work without it” isn’t the AI model. It’s the configuration behind it — the work in the Microsoft 365 admin center that no one sees but everyone feels.

Where does your tenant stand on the ten settings?

Until now, Copilot did one thing: it answered when you asked. On 2 June, at its Build conference, Microsoft changed the rule. It announced a new category of agents called Autopilots, and the first one is Scout — an agent that works in the background and acts on its own, without being prompted each time.

Scout works across the Microsoft 365 apps your teams already use — Teams, Outlook, OneDrive, SharePoint — along with the email, calendar and contacts behind your day. It spots what needs a decision from you, flags it, and helps make sure approvals and follow-ups don’t slip. You interact with it in Teams, and a desktop app extends it to the browser and local resources.

The real shift isn’t “more AI”. It’s a change of role: today’s Copilot waits for a prompt and responds. Scout monitors continuously and acts.

Each Scout agent operates with its own governed identity in Microsoft Entra, strictly within the permissions and policies your organization sets. It also ships with a policy-conformance system that continuously checks it is working within your guidelines, and every check leaves an audit trail. For anyone accountable under NIS2 or GDPR, that isn’t a footnote — it’s the whole point. An assistant that answers questions can’t get you into trouble. An agent that acts on your behalf, with access to email, files and calendars, can — if the foundation underneath isn’t in order.

And to be precise: Scout isn’t available to everyone tomorrow. It’s currently in preview, for a limited set of organizations, gated behind Frontier enrollment, an Intune policy, an attestation step and a dedicated license. This isn’t “install and go”. It’s the direction Microsoft 365 is taking — which is exactly why it matters now, not in a year.

An agent that acts on its own is only as safe and as useful as the foundation it stands on. The questions that decide whether such an agent helps you or exposes you are the ones you should be asking anyway:

• Who has access to what, right now? Are permissions clean, or have they piled up over the years?
• Is your Entra identity tidy — active accounts, clear roles, no orphaned access?
• Are SharePoint and your files structured, or would an agent “see” things it shouldn’t?
• Are there data-governance policies an agent would automatically respect?

If the answer is “not sure”, an autonomous agent won’t accelerate the work — it will amplify the disorder already there. The upside: everything you do to be ready for Scout is worth doing anyway, agent or no agent.

You don’t need general availability to start moving. The practical order:

1. Get the foundation in order — identity, permissions, SharePoint access. This is where everything downstream is won or lost.
2. Clean up and structure your data and documents, so any automation layer runs on something solid.
3. Start with the automation that pays off today — Power Automate flows for approvals, notifications, recurring reporting. That’s your training ground for the agentic layer ahead.

I’ve been working with SharePoint since 2003. I’ve been through every major stage of the platform — from the early on-premise deployments to AI agents grounded in organisational content.

In our industry, people forget quickly where we started. For anyone making decisions today about Copilot, agents and governance, the context of where SharePoint came from matters — because it explains where it’s going.

Here’s the journey, told from the perspective of someone who was there.

The first SharePoint deployments were rough. On-premise servers, manual configurations, training sessions where I explained what a „document library” was. The real problem we were solving back then wasn’t about intelligence — it was about order. Companies had mailboxes choked with attachments and chaotic network shares.

SharePoint brought structure, versioning and a consistent way to collaborate across departments. For many organisations, that was enough. For others, intranets became content graveyards — because SharePoint’s value depended on user discipline, not on the platform itself.

Moving SharePoint to the cloud, as part of Microsoft 365, removed the infrastructure burden: no servers to patch, no scaling headaches, no migration projects every few years.

A new hire asks for HR policies in natural language and gets answers in seconds. A salesperson asks for a pre-meeting briefing and Copilot builds it from emails, documents and notes across SharePoint. A manager generates a project page from a single prompt.

For us, this opened a new category of projects: Copilot rollouts that don’t stop at „we’ve bought the licences”. Real adoption requires content preparation, governance, training and measurement. Without them, Copilot stays an expensive button no one presses.

• Generates complete presentations from a prompt, following the organization’s templates and branding.
• Asks clarifying questions about audience, structure, and tone before building.
• No longer just a slide generator.

📧 Outlook (Rolling out)

• Analyzes email threads, automatically schedules meetings by finding available time slots.
• Drafts responses and organizes the inbox.
• No longer just a writing aid.

💬 Copilot Chat — the new central hub (Available now)

• From chat you can create Word documents, Excel spreadsheets, or PowerPoint presentations directly.
• You can trigger actions — schedule a meeting, send an email to the team — without switching context.
• Agents for Word, Excel, PowerPoint, and Outlook are invoked directly from the conversation.
• No longer an isolated chat bar. It is the orchestration layer of M365.

The most important element in Wave 3. Copilot Cowork is built in partnership with Anthropic (Claude Cowork technology) and represents the leap from isolated interactions to autonomous, long-running workflows.

The concept is simple: you give it a complex goal, Cowork breaks it down into steps, executes them in the right order across multiple applications, and keeps you informed with checkpoints along the way.

You give a single prompt: “Prepare everything needed for tomorrow’s meeting with client X.”

• Builds the PowerPoint presentation based on the brief from SharePoint.
• Gathers the relevant financial data from Excel.
• Sends the team an email with the agenda and materials attached.
• Checks availability and confirms the time in everyone’s calendar.
• Reports progress — you remain in control at all times.

Copilot has often been criticized for generic responses with no real context. Work IQ is Microsoft’s answer to this problem: an intelligence layer that understands the full context of your work within the organization.

• 📧 Analyzes emails, meetings, documents, and collaboration history.
• 🏢 Understands the organization’s structure and the relationships between projects.
• 📄 Allows Copilot to update existing documents with relevant information — rather than creating new isolated files.
• 🔐 Respects existing permissions — it does not access what you are not authorized to see.

💡 Without Work IQ, Copilot knows a document exists. With Work IQ, it understands that the document is linked to client X, was discussed in Tuesday’s meeting, and was last updated by the sales team yesterday.

As Copilot becomes more autonomous, a legitimate question immediately arises in any serious organization: “Who supervises what the AI is doing?”

Agent 365 is Microsoft’s answer. A centralized management and governance platform for all AI agents in the organization — both native Microsoft agents and those built custom in Copilot Studio.

💡 Without Agent 365, hundreds of autonomous agents would run in the organization without IT knowing what they do, what data they access, or how to stop them. Agent 365 is the difference between chaotic AI and governed AI.
